LifeO Privacy Policy
Last updated: October 14, 2026
LifeO ("LifeO", "we", "our" or "us") provides the LifeO personal organiser, available at mylifeorganizer.app and in our mobile apps (together, the "Service"). This Privacy Policy explains what information we collect, how we use, store, share and protect it, and the choices you have. It also explains, in section 5, exactly how we handle data we receive from Google APIs when you choose to connect a Google account.
By using the Service you agree to this policy. If you do not agree, please do not use the Service.
1. Information we collect
a. Account information
- Name, email address and, if you add them, phone number and profile photo.
- Login credentials. If you sign in with Google, we receive your name, email address and profile picture from Google to create and identify your account.
b. Content you create
- Tasks, habits, goals, calendar events, notes, journal entries, finance records, health and fitness logs, travel plans, contacts in your People list, and files you upload.
c. Health and fitness data (only if you add or connect it)
- Steps, workouts, water intake, sleep, weight, meals and mood that you log or choose to sync from a connected service.
d. Usage and device data
- Feature usage, settings and preferences, device type, operating system, app version, IP address, and crash and performance logs.
e. Data from services you connect
- If you connect Google (Calendar, Gmail, Drive, Docs, Sheets or Slides) we access only the data described in section 5.
2. How we use your information
- To provide the Service: store and sync your content across your devices, show your calendar, tasks and plans, and send the reminders and notifications you set up.
- To personalise your experience, for example your home briefing and progress insights.
- To answer your requests to Ovi, our in-app assistant (see section 4).
- To provide support, keep the Service secure, prevent fraud and abuse, and fix problems.
- To communicate with you about your account and important changes.
- To advertise LifeO on Facebook and Instagram (see Advertising with Meta below).
We do not sell your personal information, and we never use what you write or store in LifeO (your tasks, notes, journal, finances and other content) for advertising.
3. How we share information
We share information only in these cases:
- Service providers who process data on our behalf to run the Service: cloud hosting and database (Supabase), email delivery, push notifications, payments, analytics and error monitoring, and our AI provider for Ovi. They may use the data only to provide their service to us.
- People you choose to share with, for example members of a Circle, a shared calendar, or a business workspace you join.
- Legal reasons, when required by law or to protect the rights, safety and security of our users, the public or LifeO.
- Business transfers, if LifeO is involved in a merger or acquisition, in which case this policy continues to apply to your data.
- Advertising with Meta, as described below.
Advertising with Meta (Facebook and Instagram)
- Meta Pixel. Our website uses the Meta Pixel, which tells Meta when someone visits a page or creates an account, so we can measure our ads and show them to people likely to find LifeO useful.
- Custom Audiences. We may share a scrambled (SHA-256 hashed) copy of your email address, together with a list label (for example "active users" or "paying users"), with Meta. Meta matches it to Facebook and Instagram accounts, then deletes anything it can't match. We use these lists to avoid showing our ads to people who already use LifeO, to show relevant ads about LifeO features, and to find new people similar to our users ("lookalike audiences"). We never share your content, and Meta may not use these lists for any other purpose under its Custom Audience terms.
- Your choices. You can ask us to leave you out of these lists by emailing us (see Contact us), control ads in your Facebook and Instagram ad settings, or block the Pixel with your browser's privacy settings.
4. Ovi, our AI assistant
When you ask Ovi a question, the content needed to answer it (for example your tasks or upcoming events) is sent to our AI service provider solely to generate your reply. We do not use your content, including any Google user data, to train or improve generalised AI or machine-learning models.
5. Google user data
Connecting a Google account is optional. You choose which features to connect, and Google shows you the permissions requested before you agree.
a. What we access
| Feature you connect | Google permission | Data we access |
|---|---|---|
| Sign in with Google | Basic profile and email | Your name, email address and profile picture. |
| Google Calendar | See your calendars; view and edit events | The list of your calendars and the events on the calendars you select (title, time, location, description, attendees), and events you create in LifeO. |
| Mail (Gmail) | Read and send email | Messages and message details shown on the LifeO Mail page, and emails you choose to send from LifeO. |
| Documents and folders (Drive, Docs, Sheets, Slides) | Drive files; create and edit Docs, Sheets and Slides | Files and folders you open, attach or create from LifeO. |
b. How we use it
- Calendar: to show your Google events inside your LifeO calendar alongside your tasks, to keep them in sync, and to add events you create in LifeO to the Google calendar you choose.
- Gmail: to display your messages on the LifeO Mail page and to send the emails you write there.
- Drive, Docs, Sheets and Slides: to attach, open, create and organise the files you work with in LifeO.
- We use Google user data only to provide and improve these user-facing features. We do not use it for advertising, we do not sell it, and we do not use it to build profiles for any other purpose.
- No one at LifeO reads your Google data, except with your explicit permission (for example to help with a support request), when needed for security or to comply with the law.
c. How we store and protect it
- Google access and refresh tokens are stored in our secure database, linked to your account, and are used only by our servers to call Google on your behalf.
- Calendar events you sync are saved to your LifeO calendar so they appear across your devices. Gmail messages and Drive files are fetched from Google when you view them and are not stored by LifeO, except for items you choose to save into LifeO (for example an attachment on a task).
- All data is encrypted in transit (HTTPS/TLS) and at rest, and access is restricted to your account.
d. How we share it
We do not share Google user data with third parties except:
- with our hosting and infrastructure providers that store and process it on our behalf to run the features above;
- with our AI provider, only when you ask Ovi something that needs it, solely to produce that answer (see section 4);
- with people you explicitly choose to share an item with in LifeO; or
- when required by law.
e. Retention, revoking access and deletion
- You can disconnect a Google account at any time in LifeO (Calendar or App Connections settings). We then stop accessing it and delete its stored tokens.
- You can also revoke LifeO's access from your Google Account at myaccount.google.com/permissions.
- Synced calendar events remain in your LifeO calendar until you delete them or delete your account. When you delete your LifeO account, all Google user data we hold is deleted.
- To request deletion of any Google user data, email info@mylifeorganizer.app.
5b. Apple Health and Health Connect
If you choose to connect them in the LifeO iPhone or Android app, LifeO reads the following from Apple Health (HealthKit) or Android Health Connect (which also carries data from Samsung Health): steps, sleep, active energy burned, water intake, dietary energy (calories) consumed, workouts and body weight.
- Read-only. LifeO does not write to Apple Health or Health Connect.
- How we use it. Only to show your health metrics, goals, charts and streaks in LifeO, and for features you use such as health challenges and your daily briefing.
- No advertising or sale. Health data is never used for advertising or marketing, never sold, and never shared with data brokers. It is not used to train AI models.
- Storage. Synced daily totals and workouts are stored in your LifeO account, encrypted in transit and at rest, and visible only to you unless you choose to share something (for example in a challenge).
- Your control. You can disconnect in LifeO at any time, and revoke access in the iPhone Health app (Sharing → Apps) or in Health Connect settings. Deleting your LifeO account deletes this data.
6. How we protect your data
- Encryption in transit and at rest, authenticated access, and row-level access controls so each account sees only its own data.
- Private content such as health logs, journals and finance entries is visible only to you unless you choose to share it.
- No method of transmission or storage is completely secure, but we work to protect your data and review our safeguards regularly.
7. Data retention
We keep your data for as long as your account is active. When you delete your account, your personal data and content are permanently deleted from our systems, except where we must keep limited records to meet legal obligations (for example payment records).
8. Your rights and choices
- Access, correct, export or delete your data, and delete your account (in the app or at mylifeorganizer.app/delete-account).
- Turn off notifications, health tracking or any connected service at any time.
- Depending on where you live (for example under GDPR or CCPA), you may have additional rights, such as objecting to processing. Contact us to use them.
9. Children's privacy
LifeO is not intended for children under 13 (or the minimum age in your country). We do not knowingly collect data from children. If we learn that we have, we will delete it.
10. International transfers
Your data may be processed in countries other than your own. We use providers that protect data with appropriate safeguards.
11. Changes to this policy
We may update this policy. If changes are significant we will notify you in the app or by email, and we will update the "Last updated" date above.
